01Who is responsible for your data
The administrator of the prospectscouter.com service ("we", "us") operates ProspectScouter, an AI prospect scout for B2B sales teams. You can reach us about privacy at [email protected].
We act as a controller for data about account holders, website visitors and people who contact support. We also act as a controller for the business contact and company data we compile from public sources and licensed providers to produce scouting reports.
When a customer uploads its own data to the service, for example a list of best customers, CRM records synced to the service or notes added to a report, we process that data on the customer's behalf as a processor. The customer decides why that data is processed and is responsible for its lawful collection. Enterprise customers can sign a data processing agreement that sets out these terms.
02Data about account holders and their teams
When you create an account or are invited to a team workspace, we process:
- Identity and contact data such as your name, work email address and job title.
- Login data such as a hashed password, confirmation codes, session records and, on Enterprise, single sign-on identifiers.
- Account settings such as your ICP definitions, watched accounts, tone preferences, workspaces and roles.
- Usage data such as reports viewed, contacts revealed, exports, alerts and feature activity.
- Billing data such as your plan, billing period, invoices and the last digits and expiry of your card. Full card numbers are handled by our payment processor and are not stored by us.
- Support messages and the information you include in them.
- Integration data such as the CRM or messaging workspace you connect and the tokens needed to sync with it.
03Data about website visitors and demo users
When you browse prospectscouter.com or run the one-time demo report, we process:
- Technical data such as IP address, browser type, device, pages viewed, referring page and campaign parameters in the link you followed.
- Demo inputs such as your website address, the target company website, the buyer role and company size you select, and the report produced from them.
- Cookie and similar data described in the cookies section below.
The demo report reads public company pages only and shows role titles, not names or personal contact details.
04Data about business contacts who appear in reports
To show customers which accounts to contact and who to reach, scouting reports and the contact finder may include data about people in their professional capacity:
- Name, job title, role, seniority and the company they work for.
- Work email address and business phone number or direct line.
- Professional profile links and public statements tied to a company event, such as a quoted announcement of a new role.
- Company data such as industry, size range, locations, technology used, funding announcements, hiring activity and news.
We do not seek or include sensitive categories of data, home addresses, personal phone numbers or data about private life. Reports are meant for business-to-business outreach about a person's professional role.
05Where the data comes from
- From you, when you sign up, configure your account, use the service or contact support.
- From your connected systems, when you sync a CRM or other integration.
- From public sources, including company homepages, careers and jobs pages, about pages, newsrooms, blogs, public filings and public announcements.
- From licensed data providers that supply business contact data under contracts that require lawful collection.
- From your browser or device, through cookies and server logs.
Every buying signal shown in a report links to the public page where it was found.
06Why we use personal data and on what legal basis
Where the EU or UK General Data Protection Regulation applies, we rely on the following legal bases:
- Performance of a contract, to create and run your account, provide reports, contacts, exports and alerts, process payments and provide support.
- Legitimate interests, to compile business contact and company data for B2B prospecting, to keep the service secure, prevent abuse and fraud, improve features and measure how the website is used. When we rely on legitimate interests for business contacts, we limit the data to professional information, honor objections and opt-outs, and assess the balance between our customers' interest in relevant B2B outreach and the rights of the people concerned.
- Legal obligations, to keep tax and accounting records and to respond to lawful requests.
- Consent, where required for non-essential cookies or marketing messages. You can withdraw consent at any time.
We use account emails to send service messages such as confirmation codes, security notices, billing notices and alerts you configure. We do not sell personal data of account holders.
07How business contacts can opt out
If you appear in a ProspectScouter report and do not want your data used, write to [email protected] from your work email or include the email address and company concerned. We remove your contact details from future reports and exports and keep a minimal suppression record so that your data is not added again. You can also ask what data we hold about you and where it came from. Customers who already exported your data before the opt-out control their own copies; we tell customers that they must honor opt-outs under our terms.
08Rights under the CCPA and CPRA
If you are a California resident, the California Consumer Privacy Act as amended by the California Privacy Rights Act gives you the right to know what personal information we collect, use and disclose, the right to delete it, the right to correct it, the right to opt out of its sale or sharing, the right to limit the use of sensitive personal information, and the right not to be discriminated against for exercising these rights.
Categories collected in the last twelve months include identifiers, professional or employment information, commercial information about plans and purchases, internet or network activity, and inferences such as fit grades about companies. The purposes and sources are described above.
Making business contact data available to customers for B2B prospecting may be considered a sale or sharing under California law. You can opt out at any time by writing to [email protected] with the subject "Do not sell or share my personal information". We also honor recognized opt-out preference signals such as Global Privacy Control sent by your browser for the website.
An authorized agent may submit a request for you with proof of authorization. We verify requests by matching the information you provide with the data we hold, and we respond within the time required by law.
09Rights under GDPR and other laws
Depending on where you live, you may have the right to access your personal data, correct it, delete it, restrict or object to its processing, receive a copy in a portable format and withdraw consent. You can object at any time to processing based on legitimate interests, including the use of business contact data for prospecting.
To use any of these rights, write to [email protected]. We answer within one month under GDPR, or within the period required by your local law, and may ask for information to confirm your identity. You may also lodge a complaint with your local data protection authority.

- Billing records are kept for as long as tax and accounting law requires.
- Demo reports are cached for up to 7 days and related technical logs for a limited period needed for security.
- Business contact data is refreshed regularly and removed when it becomes outdated, when a person opts out, or when it is no longer needed for the service.

- Support messages are kept for as long as needed to resolve the request and keep a record of it.
12How we protect personal data
We use encryption in transit, access controls based on roles, hashed passwords, logging of administrative access and regular review of the systems that store data. Enterprise customers can add single sign-on, SCIM provisioning, custom roles and an audit log. More detail is on our security page. No system is perfectly secure, so please keep your password private and tell us about any suspected misuse.
13How data moves between countries
We and our recipients may process personal data in the United States and in other countries. When we transfer personal data from the European Economic Area, the United Kingdom or Switzerland to countries without an adequacy decision, we rely on appropriate safeguards such as the Standard Contractual Clauses approved by the European Commission and the UK addendum, together with additional measures where needed.
15Children's data
ProspectScouter is a business service for professionals. It is not directed to children, and we do not knowingly collect data from anyone under 16. If you believe a child has given us personal data, write to us and we will delete it.
16Changes to this policy
We may update this policy when the service or the law changes. We will post the new version on this page with a new date and, for material changes, notify account holders by email before they take effect. Questions about this policy go to [email protected]. Our terms of service explain the rules for using the service.
